AI & automation

Put AI to work.
Get time back.

When you’re on a job, with a customer, or running the business, the admin still piles up. Let’s find practical ways to make the repetitive parts easier.

You don’t need an AI strategy or a giant new system. Start with one task you’re tired of doing by hand.

If AI isn’t the right answer, I’ll tell you.

Useful in the real world

Less chasing.
More getting on with the job.

Here are a few things we could make easier for a trade or small business. What makes sense depends on how you work, what you already use, and where you still want a person involved.

New enquiries

Make the first reply easier.

Collect the job type, address, contact details and photos in one place, then prepare a useful first reply. Flag missing details so you can follow up with the right questions and return the call better prepared.

For exampleA plumber gets a leaking-tap enquiry while on another job. The address, a photo and the customer’s preferred callback time are gathered into one clear note, ready for a reply.

Quote follow-ups

Keep promising jobs in view.

Keep track of quotes waiting for an answer and prepare a friendly follow-up. Record the last contact so you know where each conversation stands. You stay in control of pricing, scope and what gets sent.

For exampleAn electrician has five estimates awaiting a response. A weekly list shows which customers need a check-in, with a draft message for each one to review and send.

Bookings & reminders

Help customers be ready.

Prepare confirmations and reminders from the details you already have. Keep useful notes like parking, gate access or requests to reschedule together, so it’s easier to spot what has changed before you leave for the job.

For exampleA cleaning business sends an agreed reminder before tomorrow’s visit. The customer’s reply about a new gate code is flagged alongside the appointment, so the cleaner arrives with the right information.

Job notes & updates

Turn rough notes into clear updates.

Turn rough job notes into a clear summary, customer update or handover checklist. Pull out completed work, next steps and questions that need an answer. You check the details before anything important goes out.

For exampleA contractor finishes a day replacing trim. Their notes become a draft update showing what was completed, what is still outstanding and which finish the customer needs to choose.

Paperwork & daily admin

Spend less time copying details.

Move job details into the places you need them, organize incoming paperwork, and bring outstanding tasks into one useful summary. Group information by customer or job so it’s easier to find again.

Prices and payment decisions stay with you.

For exampleA small business owner opens a daily summary of new enquiries, unanswered quotes and missing job details. Each item points back to the original message or document, ready for a decision.

Repeat work

Remember the next visit.

Keep recurring jobs, agreed service dates and previous visit notes in one place. Prepare reminders or follow-ups when they’re useful, and keep track of what needs rescheduling when plans change. You decide the timing and what gets sent.

For exampleA lawn-care business keeps visits every two weeks and seasonal cleanups on one list. Moving a rain-delayed visit also updates the next reminder, helping the owner avoid missed or duplicate follow-ups.

Sometimes the answer is AI. Sometimes it’s a simple form, reminder or checklist.

The point is to make the job easier, not add another system to manage.

Start small

Bring one task.
Let’s work through it.

Bring me one thing that keeps eating into your day.

We’ll work through how you handle it now, what’s getting in the way, and whether there’s a simpler way to do it.

  1. Show me the busywork.

Show me something you keep doing over and over, where the information comes from, and what part wastes your time.

A made-up or anonymized example is fine if you don’t want to use real customer information.

  2. Find a sensible first step.

We’ll look for the simplest useful answer.

That might be a better process, an existing tool, some AI, or an automation. I’ll explain what it could cost and what still needs you involved.

  3. Make the next move clear.

You’ll leave knowing what I recommend, what you can do yourself, what it should cost, and what still needs a person involved.

If something custom needs building, I’ll explain the scope and price before anything starts.

A few useful answers

Keep it useful.
Keep control.

Do I need to change all my software?

We start with what you already use. Some tools connect easily; others need a manual step or a different approach. We’ll check what is possible before recommending a setup.

Can this work with my website?

Potentially. Website enquiries could feed into an organized list, a draft reply or a follow-up task. We’ll look at your website and the tools receiving those enquiries before agreeing what to connect.

Will it send messages or make decisions for me?

You choose what it may do and when it should ask you. Routine acknowledgements and reminders can be automated. Important decisions about quotes, discounts, job changes or unusual customer issues stay with you unless you explicitly agree a different setup.

Does the consultation include a finished automation?

The $99 session covers up to two hours of advice and practical guidance. A custom build, ongoing support and any paid third-party tools are separate. We’ll agree any additional work and costs before proceeding.
